POSITION TITLE:

Administrative Assistant – North America

REPORTS TO:

Vice President – North America

PRIMARY RESPONSIBILITIES

  • General support for the North American Operations team
  • Manage the team calendar and assist with scheduling appointments and meetings
  • General clerical duties including ordering supplies, photocopying, scanning, data entry and filing
  • Assist with booking and coordinating travel for the VP and North America team
  • Manage conference rooms
  • Help coordinate meetings and meeting support
  • Assist with North America fleet management
  • Keep track of department expenses and submit expense reports
  • Help develop and maintain a filing system for the department

MINIMUM REQUIREMENTS

  • Bachelor’s Degree preferred
  • Minimum of 5-7 years related experience
  • Must be proficient in Microsoft Office including Outlook, Excel, Word, and PowerPoint
  • Strong communication skills within all levels of the organization, which include verbal, written and nonverbal communication
  • Ability to handle confidential information with discretion and be adaptable to various demands
  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • General knowledge of Microsoft PowerBI to assist the regional team with custom dashboards
  • Accreditation as a Notary Public is a plus
